1. It covers your whole day, not just fees
Admissions, fees, attendance, exams and report cards, timetable, homework, staff and payroll should live in one system. Separate apps for each job mean the same student is typed in three times — and the numbers never match.
2. The price is clear and grows with you
Ask for the total yearly cost for your student count, including setup, modules, SMS, the parent app and support. Per-student pricing is easiest to budget because you only pay for students you actually have.
3. Parents get a real app
Attendance, homework, results, fee dues, online payment and receipts in the parents' phone is what cuts calls to the office. Check that each parent sees only their own child.

You should be able to export students, fees and marks to Excel at any time, and get a full export if you leave. Ask where data is stored, how logins are protected and whether every change is logged.
